SERVICE & REPAIR COORDINATOR
Location: Columbus, Indiana
Rate of Pay: $18-$28 per hour, depending on experience.

Position Overview
Tallman Equipment is seeking a Service & Repair Coordinator to help manage customer repair and service work from the initial request through quoting, scheduling, tracking, documentation, and follow-up.
This position serves as an important link between our customers, service technicians, warehouse team, and other departments. The right person will be highly organized, comfortable managing multiple active service orders, and committed to keeping customers informed throughout the repair process.
Detailed Description
- Serve as a primary point of contact for customer repair and service inquiries.
- Communicate with customers to understand service needs, gather necessary information, and help resolve concerns.
- Prepare and enter repair and service quotes, including parts, labor, and other service-related costs.
- Create, process, and manage service orders and work orders from the initial request through completion.
- Coordinate repair activity, service scheduling, parts availability, inventory needs, and internal follow-up.
- Track active repairs and keep customers informed about quotes, approvals, expected timelines, and next steps.
- Maintain accurate service records, customer-specific database information, warranty documentation, purchase orders, invoices, and related files.
- Review service documentation and order information for accuracy, completeness, and quality.
- Research service issues, identify repair requirements, evaluate costs, and assist with routine troubleshooting.
- Follow up on open quotes, service orders, customer questions, and outstanding tasks.
- Prioritize multiple service orders and deadlines while working closely with the service and warehouse teams.
- Help resolve customer service issues professionally, courteously, and with the customer’s needs in mind.

Education & Experience
- High school diploma or GED required.
- Five+ years of customer service experience.
- Strong computer skills, including proficiency with Microsoft Word and Excel.
- Experience using an ERP or business-management system is valuable. Experience with Epicor Prophet 21 is preferred.
- Previous experience with repair quotes, parts and labor, service coordination, scheduling, work-order processing, repair tracking, or warranty administration is preferred.
- Experience with warehouse operations, parts identification, inventory coordination, purchase orders, invoices, or document-management processes is also valuable.
The Right Fit
You will do well in this position if you enjoy helping customers, keeping a lot of moving pieces organized, and following a job all the way through instead of assuming someone else picked it up.
You should be comfortable asking questions, digging for answers, paying attention to the small details, and keeping customers and coworkers up to speed. Repair work does not always follow a perfectly straight line…the coordinator’s job is to keep it from wandering completely off the map.
